Travel calendar – guide for employees

Overview

Location and activity tracking are critical for cross-border tax reporting.
The travel calendar serves as the foundation for generating tax-compliant export files, streamlining the handoff to your company’s tax professionals.

By using the Travel Calendar, you can log:

  1. whether you where working on that day and from where.

  2. whether you where not working on that day and why.

  3. whether you were traveling on that day, and from where to where, and if you where working during that travel.

Doing so ensures proper documentation for tax declarations and international compliance.

Note: This calendar feature is available only if your employer has activated the Assignment feature.


How to use the calendar

1. Access the calendar

  • Open the main menu on the left-hand side of the WorkFlex platform.

  • Click on “My Calendar.”

2. View the monthly overview

You will see a monthly calendar view.
Simply click on any day to log your activities for that date.

You can:

  • Log each day separately, or

  • Log multiple days at once by expanding the date range.


3. Logging a travel day

When adding an entry:

  1. Enable the toggle for “Travel Day.”

  2. Select:

    • Take-off country

    • Destination country

    • Arrival time

  3. Indicate whether you were working during the travel day or not.

    • If not working, choose the reason (e.g., vacation, public holiday, etc.).

    • If working, select the location where you worked from.


4. Logging a non-travel day

If the day was not a travel day, disable the toggle.
You will then be asked to choose between:

  • Full day, or

  • Split day

Select “Full day” if your location and/or activity did not change during the day.
Select “Split day” to record different activities or locations.

a) Full day

Select:

  • The country you were in

  • Whether you were working or not

  • The reason (if not working) or the work location (if working)

b) Split day

Select for each half of the day:

  • The country you were in

  • Whether you were working or not

  • The reason (if not working) or the work location (if working)


5. Calendar overview and progress

On the right side of the page, you will find:

  • Completion status:
    Displays your calendar’s completion in percentage per month.
    Use the left and right arrows above the calendar to switch between months.

  • Colour legend:
    A simple guide explaining what each colour in the calendar refers to.


6. Exporting your calendar

You can also export your calendar as a comprehensive list:

  1. Click on “Export calendar.”

  2. Select the desired date range.

  3. Click “Export list.”

    You will then receive an email with the exported data attached.


Tip: Keep your calendar up to date!
Regular updates ensure that your data remains compliant and ready for tax reporting.
