WorkFlex No-Risk Coverage Policy for Late PWD Notifications

This article outlines when late PWD notifications are covered under WorkFlex’s No-Risk policy and when they are not

⚠️ Important: The No-Risk policy only applies if the trip is submitted with all required information. WorkFlex does not take the liability for incomplete trip data.

✅ When a trip is covered by WorkFlex (No-Risk Applies)

  • General Rule (all EU/EFTA countries except Switzerland and Poland):
    If the trip has not yet started and WorkFlex Support is contacted at least one day before the trip start date, WorkFlex will register the trip and it will be covered under the No-Risk policy.

  • Example:
    A trip to France starts tomorrow. HR contacts WorkFlex Support this morning to submit the notification → Covered.


❌ When a trip is not covered by WorkFlex (No-Risk does NOT Apply)

  • If support is contacted after the trip has already started:

    • WorkFlex can assist in registering the remaining days (if legally allowed).

    • However, the trip will not be covered by the No-Risk policy.

  • If asked to register the entire trip, including past days:

    • WorkFlex strongly advises against this due to compliance risks.

    • It may be possible depending on the destination country, but it is still not covered under the No-Risk policy.

    • Note: Some countries do not allow retroactive PWD registration at all.


Special cases and exceptions

🇵🇱 Poland (PL)

Why No-Risk does not apply automatically in Poland

  • The No-Risk policy described above does not apply automatically in Poland because:

    • The first PWD notification from an entity requires payment of a stamp duty.

    • All notifications must be submitted via post.

    • These submissions require additional time and procedural effort.

  • Rules of applying No-Risk Policy to requests to Poland:

    • The first-ever request submitted through WorkFlex, per entity, must be completed at least 3 working days before the trip start date.

    • Any subsequent requests must be completed at least 24 hours before the trip start date.


🇨🇭 Switzerland (CH)

CH lead time requirements

Both legal and operational lead times apply:

  • Swiss authorities require the PWD to be submitted at least 8 calendar days before the trip start date.

  • WorkFlex requires 1 working day to prepare and process the request.

  • For guaranteed No-Risk coverage, the request must generally be submitted 11 calendar days in advance.

CH No-Risk coverage: late submission scenarios

  • If a request is submitted 8–10 days before the trip → ✅ Covered, as long as WorkFlex Support is contacted in a timely manner (meets legal requirements but breaches WorkFlex’s internal timeframe).

  • If a request is submitted less than 8 calendar days before the trip → ❌ Not Covered (violates Swiss law). In such cases, WorkFlex recommends submitting only in emergencies.

  • ❌ Emergency PWD notifications are Not Covered by WorkFlex.

Exception to the 8-day rule

  • If the same worker is returning to the same project previously registered, the PWD may be submitted even one day before the start date.

  • Each case is evaluated individually by WorkFlex Support.

  • If eligible, the trip is Covered under the No-Risk policy.
