Workation request details pop-up - HR admin guide

All you need to know to navigate the request details pop up for a workation

The Workation request details pop-up provides a clear and structured summary of all relevant information related to a workation request.
This article explains each section of the pop-up and how you can use it effectively to review details, assess risks, track progress, and access documents.


Opening the request details pop-up

When you click on a workation request in the platform, the request details pop-up opens automatically.
It is divided into three main sections:

  1. Trip details

  2. Risk assessment

  3. Progress and documents

Each section serves a specific purpose and helps you manage the request efficiently.


Section 1: Trip details

The top section of the pop-up provides a quick overview of the key trip information:

  • Traveler’s payroll country

  • Destination country

  • Trip start and end dates

  • Total duration of the stay

  • Number of working days during the trip

In the top-right corner of this section, you will find the workation trip ID.
This ID is always required when contacting the Customer Support team.

At the bottom of the section, the workation balance of the traveler is displayed.

  • Hover over the exclamation icon to see a detailed breakdown of the balance

  • This helps you understand how many days have already been used and how many are still available.


Section 2: Risk assessment

The risk assessment section shows the overall risk level of the workation request.

You can see:

  • The overall risk classification

  • Which risk dimensions are marked as:

    • Low risk

    • Medium risk

    • High risk

Viewing detailed information

  • Click on the arrow next to the risk level to expand or collapse the section

  • Expanding the section shows additional details per risk dimension

Downloading the risk assessment

To download the full risk assessment document:

  • Click on Detailed assessment

Comments

You can also use the Comments button to leave notes for your internal team.

Important notes about comments:

  • Comments are intended for internal use only (HR, assistants, employees)

  • WorkFlex employees do not review or act on information added in the comments field

Section 3: Progress and documents

On the left side of the pop-up, you will find the third section, which focuses on the status and next steps of your request.

Progress

This area shows:

  • The current progress status of the workation request

  • Which steps have already been completed and which are still pending

Approve or reject the request

Below the progress bar, you can approve the request using the Approve button or reject it using the Reject button.

Actions

By clicking the Actions button, you can:

  • Edit the request

  • Reschedule the trip

  • Cancel the request

  • Resubmit the workation request (if required)

Documents

Under Documents, you can see:

  • Which documents are finalized and ready to view or download

  • Which documents are still pending

At the bottom of this section, you can open the country guide.

The country guide provides a comprehensive overview of:

  • Local regulations

  • Compliance considerations

  • Key information for your destination country
