How can I select the cross-border setup in my employee profile?

Our platform supports the selection of cross-border employee profiles (see here what each cross-border definition means) This feature is essential for ensuring that employee data is complete, enabling smooth operations, particularly for business travel and related tasks.

For employees who already have a profile

  1. HR Admin Actions:

    • If you are a client that is already live with employee profiles, we will have pre-selected a list of employees who need defining of the correct cross-border type.

    • Please note: Should we not have identified an employee as a special traveler, then the cross-border type will be "None" by default and no further action is required. Should you believe that the type is incorrect, you may adjust as explained below.

    • HR admins will be prompted through a pop up to update the profile of current employees that WorkFlex has pre-selected as cross-border employees. You will be navigated to the People Overview section.

    • In the people overview section, you can select the employment type and categorize employees as cross-border. Should you have clicked on the pop up you will find a list with the pre-selected employees.

    • You may also filter this section to your needs by clicking on filter and click on Unassigned.

    • Once the type is selected, employees will need to complete the follow-up questions to ensure their profiles are up to date.

    • In case you would not like the employees to fill out the additional questions themselves, you may click on manage profile and fill out the question yourself as an HR Admin.

  2. Employee Actions:

    • Employees also have the option to update their own profiles by clicking on their profile and select the correct cross-border type.

    • It is crucial to answer the follow-up questions after selecting your employment type. Without completing this step, your profile will be incomplete, and you may encounter issues, such as being unable to submit requests.

  3. Business Travel and Notifications:

    • If your you are using WorkFlex for your Business Travel compliance and have your OBE (Online Booking Engine) tool integrated, the employee will receive an email notification to complete the profile with the missing information.

For New Employees

  1. HR inviting new employees:

    • When HR admins invite new employees they can select the cross-border type for each employee.

  2. Employee profile setup:

    • During the initial profile setup, new employees will be prompted to select their employment type.

    • If you are a cross-border employee, choose the appropriate type and answer the follow-up questions to ensure your profile is complete.
