How to set up relevant documents for workation and business trip management in WorkFlex for HR Admins

Before we can take your account live in WorkFlex, we need to make sure you have prepared and uploaded / updated all the necessary documents. Below is a list of the two most important documents required to go live with Workation:

  • Company policy (terms and conditions for workations)

  • Employee instructions (guidelines and emergency contacts for employees during their workations)

How to upload the needed documents for workation:

1. Navigate to Company Settings > Company Documents.

2. If the default template is still uploaded, remove it by clicking the trash icon.
3. Upload your finalized document by clicking Upload and choose the specific PDF.

4. As a final step, don't forget to click Save to apply your changes.

How to change documents

In case of any adjustments to the company policy or employee instructions, you can delete the existing document as described above and upload the updated version. If your account is already live, employees will be prompted to accept the new policy or documents again after the changes are made.

How to upload the company policy for business trips:

In case you have a specific in-house policy for business trips, we have added the option to upload it to the platform so that employees must agree to it before submitting their business trips.

Please note, we do not provide a specific template for this, as it is not mandatory and may vary from one company to another.

To upload your business trip policy:

  • Navigate to Company Settings in the left menu, then select Company Documents.

  • Scroll down to "Business Travel Policy" and toggle it on.

A field will then appear where you can upload your company policy in PDF format.

  • Click Save to apply the changes.
