How to use the "On Assignment" cross-border employment type

What happens when you choose "On Assignment" as the cross-border employment type?

When you select "On Assignment" as the employment type for an employee on the profile information page, a new section will appear. This section allows you to input the additional information required for employees who are going on assignment. This is crucial for ensuring that all relevant details are captured for the assignment process.

Information for cross-border assignments

Once you select "On Assignment," you will need to provide the following information for the employee:

  1. Payroll country during the assignment: Specify the country in which the employee's salary will be processed during the assignment period.

  2. Social security country during the assignment: Indicate which country will handle the employee's social security during the assignment.

  3. Social security number: Enter the employee's social security number.

  4. Residential address during the assignment: Provide the address where the employee will reside while on assignment.

  5. Contractual set-up during the assignment: Specify the employee's contractual arrangement during the assignment period.

  6. Cost center during the assignment: Identify the cost center that will be responsible for the employee’s assignment.

  7. Job title in the host country: State the employee’s job title while working in the host country.

  8. Business trip services: Indicate whether the employee's job will involve providing services during business trips while on assignment.

  9. Power of attorney in host country: Clarify whether the employee has power of attorney in the host country.

  10. Position in management: Specify if the employee is part of the senior management, sales, or procurement teams during the assignment.

Once this information is provided, it will be used once the assignment has been confirmed for this employee.

The assignment process: exploration and confirmation

At the initial stage, when you request an assignment, the "Exploration" phase will include an optional field to add the employee who is going on assignment. However, their profile information will not be automatically transferred to the assignment details during this phase, as the assignment is not yet confirmed. In the Exploration phase, the assignment is still in the early stages.

After you submit the assignment you can enter the second phase, the confirmation phase.

In this phase, you will be able to select the employee’s name, and their profile information will be transferred to the assignment details. If you already filled in some details during the Exploration phase, those will be replaced by the updated information from the employee’s profile. This ensures that all assignment documents are issued with the correct employee details.

Fill in the rest of the confirmation details such as the assignment start and end dates, and weather you would like to add any additional services that we can assist you with and then confirm the assignment.

We use the profile information as the source of truth, so updates flow only from the profile page to the assignment details page, and not the other way around.

Confirmation and submission

Once the assignment is confirmed, the submission file will show all the information that was provided on the employee's profile, ensuring consistency and accuracy in the assignment records.

Automatic update of employment type

If an employee has an upcoming assignment, a banner will appear on their profile information page to indicate the assignment's start and end dates. When the assignment begins, we will automatically change the employee's cross-border employment type to "On Assignment" (if not already set). Once the assignment ends, their employment type will revert to the original status prior to the assignment.

Selecting "On Assignment" as the cross-border employment type helps ensure that all necessary details are captured for the employee’s assignment. By using the employee's profile as the source of truth, WorkFlex ensures a smooth transition between exploration, confirmation, and documentation. This process helps manage assignments with precision and ensures that all compliance and documentation requirements are met efficiently.
