With the new Workflow Builder, WorkFlex now allows HR teams to design customized approval processes for Business Travel requests.
In addition to defining approval steps, the builder also allows you to configure conditions that determine when approvals are required. This makes it possible to align travel approvals with your company’s internal policies.
Approval Triggers
For Business Travel requests, approval workflows can be controlled using approval triggers.
Triggers define the conditions under which the approval process should start.
When configuring a workflow, you can select one or multiple triggers from the toolbox.
The system then evaluates each travel request using two possible paths:
Trigger matches → the request enters the configured approval workflow
Trigger does not match → the request continues without additional approvals
Trigger Logic: Combining Conditions
If multiple triggers are selected, you can define how the system evaluates them:
Any Trigger Matches (OR Logic)
The approval workflow will start if at least one of the selected conditions is met.
All Triggers Must Match (AND Logic)
The approval workflow will only start if all selected conditions are satisfied.
This flexibility allows companies to model more complex travel policies within the workflow.
Scenario Without Triggers
It is also possible to configure a workflow without selecting any triggers.
In this case, the system assumes that every Business Travel request requires approval.
This means that all requests will automatically pass through the configured approval workflow.
What Happens After Submitting a Workflow?
When a workflow is submitted:
The request is sent to the WorkFlex Product and Customer Success teams
A ticket is created for the technical team
The requested workflow configuration is reviewed
The team coordinates the implementation
Once the review is complete, the WorkFlex team will contact you to finalize the configuration.
