Introducing the WorkFlex Workflow Builder
At WorkFlex, we are continuously working to make global work and travel processes easier and more flexible for companies. Today, we are excited to introduce a new experimental feature: the Workflow Builder.

The Workflow Builder allows HR teams to visually design custom approval workflows for Workation and Business Travel requests - directly inside the WorkFlex platform.

This new tool helps organizations configure how travel requests should move through their internal approval processes.
What is the Workflow Builder?
The Workflow Builder is a visual workflow design tool that allows you to create custom approval flows using a simple drag-and-drop interface.
With it, you can define:
Approval steps
Conditional logic
Automated decisions
Different approval paths depending on risk level
This allows you to configure the workflow so it reflects how your company actually handles travel approvals.
Where to Find the Workflow Builder
You can access the Workflow Builder directly in the WorkFlex platform.
Steps:
Log in to WorkFlex as an HR
Navigate to Company Settings
Open the section Workflow Builder
How the Workflow Builder Works
Designing a workflow is simple and interactive.
Drag & Drop Workflow Elements
Select workflow steps from the toolbox and add them to the workflow canvas.Configure the Workflow
Arrange the approval steps and automation logic visually.Submit the Workflow
Send the workflow configuration request to the WorkFlex team.Implementation
Our Product and Customer Success teams review your request and coordinate the final setup with you.
Once submitted, you will see a visual confirmation that your request has been sent.
Available Workflow Components
The Workflow Builder includes several configurable elements that can be used to design your workflow.
Approval Steps
You can add multiple approval steps, including:
Manager Approval
HR Approval
Other Approval (custom role and email address)
The custom approval step can be used for roles such as:
CEO
Approvals can be arranged in sequence to create different approval flows.
Workation Workflow Configuration
For Workation requests, the workflow builder allows you to create different approval paths depending on the Risk Assessment result.
The Risk Assessment can have three statuses:
Low Risk
Medium Risk
High Risk
Each status has its own workflow lane in the builder.
This means you can configure different approval steps depending on the risk level of the trip.

This allows HR teams to configure approval steps based on the risk level of the trip.
The Workation builder also includes automation options:
Auto-approve
The request is automatically approved without human interaction.
Auto-reject
The request is automatically rejected without human interaction.
