The bulk upload feature allows HR admins to create multiple business trips at once by uploading a pre-filled Excel or CSV template. This saves time when managing travel for large groups of employees and avoids having to submit each trip individually.
Who can use this feature
This feature is available to HR admins only.
Bulk upload applies to business trips only, it is not available for workations or assignments.
How to bulk upload business trips
Navigate to the Employee requests dashboard.
Click Request a trip in the top right corner and select Bulk upload trips from the dropdown.
In the pop-up window, click Download template to get the Excel template.
Fill in the template - one row per trip - with the following details:
Employee Email (required)
Trip Start Date (required - DD/MM/YYYY format)
Trip End Date (required - DD/MM/YYYY format)
Destination Country (required - select from the dropdown in the template)
Trip Purpose (optional - select from the dropdown in the template)
Save the completed file as .xlsx or .csv.
Return to the platform, click the pop-up window, and select Upload file to upload your template.
Review the upload summary before proceeding:
Trips that will be created are shown with a green Will be created status.
Invalid trips are highlighted in red, with the reason for the error shown underneath.
Click Back to upload to fix errors and re-upload your file, or click Create [number] trips to submit only the valid trips.
Trips marked as pending
Some trips may be created with a Pending status if additional information is required. This happens when:
A work location still needs to be selected
HR-required questions for the trip have not been answered
A1/CoC questions need to be answered
Additional PWD questions need to be answered
The traveler's profile is not yet complete on the platform
In these cases, the trip is created but marked as pending, and the traveler receives a notification email asking them to fill in the missing information.
