Every business trip in WorkFlex has two statuses:
Overall Status
Compliance Status
This article explains how the Pending compliance status works, why trip requests may remain in this status, and how HR admins can update the missing information to move trips forward.
What does "Pending" status mean?
A trip request enters Pending compliance status when it has been created in WorkFlex but still lacks the necessary information for a compliance check.
This often happens with trips imported via travel tool integrations.
The following information may be missing:
Employee profile details
Trip purpose
Economic employer question answers
Additional Posted Worker Directive (PWD) or visa question answers
Until this information is provided, the trip cannot proceed to the compliance stage.
On the platform, pending trips are highlighted in yellow and show a “Pending” label under the Compliance Status column.
How to update a pending trip
The following steps can be completed by the traveler, their assistant, or an HR admin.
1. Click on the trip request. You’ll see a list of the missing information. Select Update Request to start filling in the details.
2. After clicking Update Request, the platform will guide you step by step. Click Next to move through the flow and provide the required information.
Example: If the trip is pending because profile information is missing, you’ll be directed to the profile information page.
3. If more than one item is missing (for example: profile details, trip purpose, and return date), the system will take you automatically to the next missing field once you finish the previous one.

4. Once you’ve filled in all required fields, click Next and then Submit to update your request.
The trip status will change to In Progress or directly to Completed, depending on the case.
How can HR admins track pending trips?
HR admins have several tools available to identify and resolve pending trips:
1. Weekly pending trip report
Every Monday, HR admins receive an Excel report listing all pending trip requests.
This report gives full visibility so admins can follow up with employees and request the missing information.
Reports are personalized by assigned employment entities, so you only see trips relevant to your team.
Important: To receive this report, go to Company Settings → Admin Users and make sure notifications are enabled for your profile.
✅ Tip: Regularly review your pending trips via the weekly Excel report and reminders to ensure no trip remains stuck, reducing compliance and liability risks.
2. Employee requests overview – Banner notification
If your company has at least one pending trip, a banner will appear at the top of the Employee requests page:
A “Send reminder” button is displayed. When clicked, a reminder email is automatically sent to employees with pending trips.
A confirmation pop-up will appear once the reminders are sent.
If you click “Skip for now,” the banner disappears temporarily but reappears after logging in again.
3. Pending trip email notifications
When a trip is created in pending status (e.g., due to missing profile information):
Employees, HR admins, and Assistants all receive an email notification.
HR admins are encouraged to update employee profiles using the bulk upload feature.
What happens if the trip has not been updated?
Pending requests remain in Pending compliance status indefinitely if the traveler or HR admin does not provide the missing information.
This creates several risks:
Compliance checks are blocked
The company may be exposed to regulatory penalties
Potential insurance and liability issues
Employees may travel without proper registrations or documents
