Overview
WorkFlex allows you to manage different workation rules across your organization by creating custom Workation Policies for specific entities. This feature gives HR teams and administrators the flexibility to accommodate distinct regional requirements, departmental guidelines, or entity-specific compliance rules directly within the platform.
Important to Know
Permissions required: You must have Administrator or HR-level access to view and edit Company Settings.
Prerequisites: Your company structure (entities) must already be set up in your WorkFlex account.
Default behavior: If you do not create and assign any custom policies, all entities will automatically "inherit" the standard Default Policy.
Single-policy view: While only the default policy exists, you'll see the policy view directly. Once you create a second policy, the Workation policy overview page appears instead, listing all policies side by side.
How It Works
Instead of using a one-size-fits-all approach, you can build tailored policies and assign them to specific entities. You first define the rules and customizations inside a new policy profile. Once saved, you map that policy to the desired entity. Any entity without a custom mapping will continue to use the default rules.
Steps
Log in to your WorkFlex account.
Navigate to Company settings in the main menu.
Click on the Workation policy tab.
Click the Create new policy button.
Enter a clear Policy name (e.g., "Workation Policy - Policy 1") and configure your specific customizations and rules, then press Save Policy.
Navigate back to the Workation policy overview page. You will now see your new custom policy listed alongside the default one.
Click Assign to Entity at the top of the screen — this takes you to Entity management. You can also reach Entity management directly from the settings page.
Select Change workation policy next to the relevant entity and choose your newly created custom policy from the dropdown menu.
In Brief
Once the assignment is saved, the selected entity will immediately operate under the rules of the new custom Workation Policy. Any future workation requests from employees within that entity will be assessed against these new parameters.
Additional Notes
Deleting a custom policy: If you delete a custom policy, every entity assigned to it automatically falls back to the Default Policy. There is no scenario in which an entity is left without an assigned policy.
