How can I configure the custom fields in the plattform?

WorkFlex allows for the customization of employee profiles to better suit the needs of your organization. Below, you will find explanations of each custom field available and how to effectively use them.

Where to find the custom fields:
Sign in your HR Admin profile and click on 'Company settings' on the left bar and then on 'custom profile fields'.

Cost Center

Purpose: Assign employees to specific cost centers.

How to Use: The cost center field can be populated with the name of the cost center each employee is associated with.

To enable the cost center field, simply toggle the 'cost center' switch to the on position and choose your input method:

  • Free Text: Allows for manual entry of the cost center.

  • Predefined Options: Admins can set up a list of available cost centers. (Recommended)

⚠️ Make sure you click save and the bottom right to save your changes.

How it will look like for the employee:

The employee will be asked to select their cost center, ideally in the predefined options, otherwise as a free text. Should you have selected a bulk upload to invite your employees, you can pre-fill this data for the employee.

Employee ID

Purpose: Provide a unique identifier for each employee.

How to Use: This field is intended for the input of an Employee ID, which is a unique identifier for each employee. This is a free text field that is filled out within each employee's profile.

To enable the employee id, simply switch on 'Employee ID'.

⚠️ Make sure you click save and the bottom right to save your changes.

How it will look like for the employee:

The employee will be asked to add their Employee ID in their profile as a free text. Should you have selected a bulk upload to invite your employees, you can pre-fill this data for the employee.

Employment Entity

Purpose: Identify the legal entity under which an employee is hired, useful for organizations with multiple legal entities.

How to Use: When you have various employment entities within your WorkFlex account, this option enables each employee to select their corresponding employment entity during their profile creation.

To enable the cost center field, simply toggle the 'Enable cost center' switch to the on position and choose your input method. This can be set up in two ways:

  • Free Text: Employees can manually enter the name of their employment entity.

  • Predefined Options: Admins can configure a dropdown list of entities for employees to choose from. (Recommended)

⚠️ Make sure you click save and the bottom right to save your changes.

How it will look like for the employee:

The employee will be asked to select the entity with which they have their work contract with, ideally in the predefined options, otherwise as a free text. Should you have selected a bulk upload to invite your employees, you can pre-fill this data for the employee.

Remember to save changes after configuring each field by clicking the 'Save' button on the bottom right.
