At WorkFlex, we aim to simplify the travel and compliance process for your employees. While we have some integration features with Personio, it's important to clarify the scope of what can be achieved, as well as offer a couple of additional customization options.

HRIS integration:
We have an integration with Personio that allows data to be sent from Personio to WorkFlex. This ensures smooth communication between both systems for seamless employee data management (additional information here).OpenAPI integration:
Our OpenAPI allows data to be sent from WorkFlex to Personio. However, please note that this integration requires technical support from your end to set up (ask your CSM for additional information).Setting up a shortcut within Personio: If you want to make it easier for your employees to access WorkFlex, you can set up a shortcut to the platform directly in the Personio homepage.
Go to Settings in Personio.
Navigate to Homepage Shortcuts.
Add a new shortcut and link it to WorkFlex. This will give your employees quick access to WorkFlex from their Personio homepage.
Setting up a custom workflow for trip requests:
You can also create a workflow within Personio that allows employees to request workations or business trips. However, to ensure proper integration with WorkFlex, the workflow should include a follow-up task directing employees to submit their trip request within WorkFlex.
Go to Settings in Personio.
Navigate to Custom Workflows.
Create a new workflow for business trips and workations.
In the workflow, ensure there’s a task that assigns employees the action to request the trip within WorkFlex.
Limitations of integration options
While these integrations streamline some processes, it's important to set the right expectations. It is not possible to manage the entire employee workflow within Personio. WorkFlex has specific functionalities that cannot be fully replicated in Personio:
Risk assessment: WorkFlex requires additional information to assess travel risks and implement mitigation mechanisms, which cannot be done solely within Personio.
Follow-up questions: In some cases, WorkFlex may need to send follow-up questions to employees regarding their trips, which is outside the scope of Personio.
Approval flows: WorkFlex needs to set up approval flows based on outcomes (e.g., involving HR in high-risk cases). These approval processes are not configurable within Personio.
Certificates: WorkFlex handles sending necessary certificates (such as A1 certificates) to employees, which is also outside Personio's capabilities.
