We've overhauled how business travel purposes are captured. Instead of scrolling through long lists, employees can now simply describe their trip in their own words, and our AI will suggest the most accurate categories. 📢 Automated Cost Projections & Balance Sheets 💰📊

Financial planning for assignments is now fully automated! Whenever you request a Cost Projection or Balance Sheet, our AI-assisted engine generates the document and delivers it directly to your Documents tab in under a minute. 📢 Dedicated "On Assignment" Profiles 👤✈️

We've neatly separated active assignment details from core employee profiles. When an employee goes on assignment, a new tab appears housing all assignment-specific data (host country, cost center, temporary address). This data auto-syncs, is preserved when the assignment ends, and never overwrites their permanent profile details.

SOS

📢 SOS on the Go: Mobile App Enhancements 📱🏥

Your employees can now access everything they need directly from their mobile devices. The WorkFlex app now features instant access to SOS policy details, hotline numbers, and insurance certificates. We've also added a Document Center where travelers can securely view uploaded passports and visas on the go, plus new city-level destination details for better trip context. 📢 Our new website is live ✨

We've rebuilt getworkflex.com from the ground up. Alongside a refreshed, more grown-up brand, we've rewritten much of our messaging based on what customers told us in recorded sessions — because the way we describe what we do should match the way you actually talk about it. Hundreds of pages across two languages, new visuals, and clearer explanations of what WorkFlex does. Have a look around, and tell us if anything looks off.

📊 Visa Dashboard for HR Admins

HRs now have a dedicated Visa Dashboard showing all trips requiring visas in one combined view—covering Business Travel, Workation trips, and requests from the Visa Assistant. Document type and status are set by the Visa team and displayed as read-only.

📢 Public holidays, right in the calendar 📅

Trip date selection now highlights public holidays in both the home and host country, so employees can plan around them instead of discovering them later. The system continues to deduct only home-city holidays from the working-day balance automatically, and manual adjustments remain available whenever a trip doesn't fit the standard pattern.

Look for highlighted dates the next time you pick trip dates.

🏢 Edit Entity Details

HR admins can now edit details of existing entities (address, names, etc.) directly from the platform—no more Customer Success Manager handoffs for simple updates.

📢 Take control of workation trip actions ⚙️

Two improvements land together here. First, HR admins can now manage the visibility and ownership of individual workation trip actions from company settings, so each action sits with the right person. Second, pending requests and trip approvals have moved out of banners and progress bars into "Actions required," where they belong. What needs doing is now in one predictable place instead of scattered across the interface.

📢 Choose who receives document emails ✉️

Clients with managed employees can now stop those employees from receiving A1, PWD, and social security statement notifications. Email customization settings include an "Employee type" section with separate checkboxes for employees with and without platform access. A1/CoC and PWD emails have both selected by default; the social security statement defaults to managed employees only. Particularly useful for partners who prefer employees receive no direct WorkFlex communication.

📢 Add work locations in bulk 📍

Adding sites one at a time was painful for clients with large footprints. You can now upload work locations from a CSV or XLSX template directly on the work locations page. Every row is checked for missing fields and duplicate names before anything is created, and a review table shows exactly what will be added — so mistakes get caught before they reach your data, not after.

📢 Egencia hotel bookings now supported 🏨

Hotel bookings are now supported for clients with a direct Egencia integration, joining the existing booking capabilities. This is newly live, so let us know if you'd like to be among the first to use it and we'll support the setup.

📢 Urgent trip to Switzerland? There's now a documented exception 🇨🇭🚨

Switzerland normally requires notification at least 8 calendar days before a trip starts. Swiss guidance allows a narrow exception for genuine emergencies — equipment damage, accidents needing immediate correction, natural disasters, or comparable unforeseen events. Planned work doesn't qualify: meetings, workshops, scheduled projects and routine maintenance all follow the standard deadline. You'll need a supporting letter from your Swiss customer, and the cantonal authority makes the final call. Worth knowing: emergency notifications aren't covered by our No-Risk policy.

📢 Sending people to Norway? Set up your Altinn authorization 🇳🇴🔑

Before we can file Posted Worker Notifications for Norway on your behalf, your company needs to authorize us in Altinn. Once you have your Norwegian Organisation Number (NUF) and Altinn 3 access, it's a short setup: add WorkFlex as a user under Access Management, then grant power of attorney for the reporting service used by the Norwegian Tax Administration. You'll need the Access Manager role to do it — if you don't have it, your company's Altinn administrator can help.

📢 Submit past-dated business trips without support ⏮️

HR admins can now select a past start date when submitting or rescheduling a trip. Previously this meant contacting support, who submitted it on your behalf anyway — an unnecessary step for everyone. Employees and other roles still can't backdate trips. One thing worth knowing: trips entirely in the past won't receive a PWD, only a compliance summary and, where applicable, an A1.

Business Travel Updates

📋 Syncing Trip Purpose & Hotel Bookings via CC Integration

With your cc-integration to your travel tool, you can now add the trip purpose to your booking emails and WorkFlex will automatically match these in your WorkFlex account. In practice, this means:

  • Trip purpose is auto-filled on submission — travellers don't have to do it manually

  • If the trip purpose doesn't require additional compliance questions, travellers won't be prompted to log in to the platform at all

  • Our cc-integrations can now also read hotel bookings.

📊 Create Hundreds of Trips Instantly with Bulk Uploads

Managing high volumes of travel requests just got faster. HR admins can now bypass manual, one-by-one entries and create hundreds of trips simultaneously using Excel or CSV files. Find out more here

  • Template-Driven Workflow: Download our standard template, populate the required fields (dates, destinations, traveler emails, and trip purpose), and upload.

  • Smart Validation: Review a pre-creation summary that flags formatting or data errors, allowing you to fix issues before confirming.

Workation Updates

✅ Enforceable Workation Policy Limits

Keeping track of remote work limits just got easier. HR admins can now make workation day limits and notice periods strictly enforceable directly from the Workation policy settings. Find out more here.

  • Strict Enforcement: When enabled, employees who exceed their allowed days or number of requests will see a red error message and will be blocked from submitting the request.

  • HR Exception Handling: HR admins submitting a request on behalf of an employee bypass these restrictions entirely, allowing for seamless exception management.

General Updates

✉️ Direct Employee Access to Visa Assistant

WorkFlex can now give employees direct access to the Visa Assistant on their dashboard. Employees can self-serve visa checks and submit requests without going through HR. Each employee sees only their own trips. If you wish to enable this for your employees, please reach out to your Customer Success Manager. Learn more here.

🔔 Automated Expiry Alerts for Documents

By default, WorkFlex sends reminder emails to employees and HR administrators when a document in the Document Center (such as a Multi-State A1 certificate, visa, or any other document with an expiry date) is approaching its expiration date or has already expired.

You can customize the recipients of these notifications. For example, you can opt yourself out of receiving these emails, send them to specific users, or configure them based on user roles (e.g. HR Administrator, Manager, Assistant, etc.). Find out more here.

📤 Social Security Statement Sharing for Managed Employees

Managed employees with A1 trip handling enabled will now automatically receive their WorkFlex social security statement as a PDF attachment by email. Previously, this document was only available inside the platform — which managed employees cannot access. The email template is also available in email customization settings. Find out how here.

📋 To-Do Tracker: Focus on trips that need action

The To-Do Tracker gives HR admins a clear overview of trips that currently require attention — showing only trips with pending actions.

Once all actions are completed, trips disappear automatically. Actions are displayed directly in the overview, so there’s no need to open each trip individually. Learn more here.

📤 Upload a visa directly from a trip request

You can now upload visa documents directly within a trip request — no need to leave the page.

Once uploaded, the visa is automatically saved in the employee’s Document Center, related actions are completed, and the Compliance Summary updates automatically.

✉️ Customizable email recipients

HR admins can now define exactly who receives each type of email notification.

The new “Recipients” tab allows you to:

• add custom email addresses

You can now check expected processing times for pending A1 certificates, CoCs, and PWN documents directly in the request details via the new “Check processing time” link.

This gives you instant visibility into country-specific timelines and reduces uncertainty when planning assignments.

You can now search by city, not just country, when submitting workation, business trip, and assignment requests. A free-text search powered by Google Places replaces the previous country dropdown, making the experience faster and more intuitive.

✅ Trip Actions in the Request Details Pop-Up

Here's how it works:

  • Open any workation or business trip request and go to the Trip Actions section

  • Tasks marked "Waiting on HR" can only be completed by HR

  • All other tasks can be completed by any user

  • Completed actions are tracked automatically in the same view

🇨🇭 Simpler PWD Process for Switzerland

Good news if you post workers to Switzerland. We've simplified the PWD notification process — we will no longer ask you to provide contact person details at the destination company.

Going forward, WorkFlex will appoint the posted worker as the contact person and use our own contact details. This means any follow-up from Swiss authorities is handled directly by us, with no additional effort required on your side.

Individual Power of Attorney Now Required for Norway

For clients with A1/CoC trip handling enabled, WorkFlex will now request individual Powers of Attorney (PoA) for Norway — both for workations and business trips. This follows the same process already in place for Sweden.

  • Send reminders with a single click

Weekends, public holidays, approved business trips, and workation entries now sync automatically. WorkFlex selects the right country — payroll or destination — based on each employee's situation, with no manual setup needed.

👥 New Role: Assignment Admin — Smarter Access for Cross-Entity Assignments

Managing assignments that span multiple entities just got easier. The new Assignment Admin role gives HR admins controlled visibility into assignment details for employees outside their own tenant — without granting broad company-wide access.

Here's what it means in practice:

  • Host HR can view and manage assignment tasks, documents, and status for employees from another entity

  • Full employee profile data stays protected — access is granted on a per-employee basis only

  • The role can only be assigned by Global HR, and only to HR Admins

The result: smoother collaboration between Home and Host HR, better governance, and no more workarounds for cross-entity assignments.

Workflow Builder – Experimental Release (Version 1)

We’ve introduced the Workflow Builder as an experimental feature designed to give HR and Global Mobility teams more flexibility in defining internal processes.

Important: This is the first experimental version, and workflows created in the builder are not automatically applied to the platform yet.

When you submit a workflow:

  • A request is generated

  • The WorkFlex Product and Customer Success teams review it

  • The configuration is implemented manually

This early version is designed to demonstrate the flexibility of WorkFlex workflows and help teams define the exact process they want.

Full A1 / Certificate of Coverage coverage across the EU, EEA and Switzerland

Over the past months, our Compliance Operations team has been working to finalize the remaining countries where our A1 / Certificate of Coverage (CoC) processes were not yet fully operational.

We’re happy to share that WorkFlex now supports operational processing across the entire EU, EEA and Switzerland.

In the last cycle, six jurisdictions required deeper operational setup:

  • France

  • Belgium

  • Greece

  • Bulgaria

  • Romania

  • Slovenia

As of March 1st, the official address of WorkFlex International B.V. has changed to:

The new address already appears on all invoices issued since March 1st.

Updated CoC process in Germany

Since January 2026, Certificates of Coverage (CoC) in Germany must be requested digitally via the SV-Meldeportal, replacing the previous mail-based process.

This change removes previous submission pathways via SAP HCM, meaning many companies must now log into the SV-Meldeportal and submit CoC requests manually, adding new administrative steps for HR teams.

If you already use WorkFlex for A1 and CoC handling, no action is required. We manage these updates automatically as part of our service.

If you currently handle CoC requests internally, this may be a good moment to consider moving the process to WorkFlex.

Simplified PWD process in Italy

We have good news for companies sending employees to Italy.

Previously, the Italian PWD process required employees to provide detailed personal information about the contact person at the destination company, including:

  • Name

  • Date of birth

  • Nationality

  • Place of birth

Going forward, these questions will be removed.

WorkFlex now has a local contact in Italy who can handle this information directly during the notification process.

As a result, employees no longer need to provide these details themselves, making the process significantly faster and simpler.

Improved email reliability

As part of our ongoing infrastructure improvements, WorkFlex is updating the service used to send system emails.

We will be moving to Amazon SES, a fully GDPR-compliant email delivery service.

This change improves the reliability and stability of platform emails, including notifications and system messages.

No action is required on your side.

Request detail pop-up

We’ve redesigned the trip request pop-up so you can easily track the progress of your request, find relevant documents, and clearly see what’s next.

The updated view gives you:

  • A transparent status overview

  • Direct access to relevant documents

  • Clear next steps for HR and employees

WorkFlex File Share

Sending sensitive documents via email attachments is often not secure. Files can be forwarded, intercepted, or stored in inboxes longer than intended.

With WorkFlex File Share, you can now securely share files without sending them directly via email.

How it works:

  • Upload a file to WorkFlex

  • Generate a secure download link

  • Share the link instead of the attachment

This ensures better control and improved data security.

Choose the display language during onboarding

WorkFlex is available in multiple languages.

Users can now select their preferred platform language directly during onboarding after their first login by choosing the language in the top-right corner of the onboarding page.

This selection will also define the language of system emails sent by WorkFlex.

We’re thrilled to announce that WorkFlex can now request A1 certificates for companies in France.

This expands our support for international mobility and ensures full compliance for your employees working across borders.

Assignment Task Tracker

The new Assignment Task Tracker gives HR teams, employees, and all involved stakeholders full visibility over required to-dos throughout an international assignment.

Tasks are:

  • Structured by assignment phase

  • Managed in one central platform

  • Clearly assigned to responsible parties

  • Designed to replace Excel sheets, scattered email follow-ups, and disconnected task tools, the Task Tracker supports a structured and reliable assignment process.

It’s another important step toward WorkFlex becoming your true one-stop shop for assignment management.

General updates

New business trip status: Overdue

We’ve introduced a new trip status to keep your dashboard clean and actionable.

If a trip is still pending and the trip start date has already passed, the system will now automatically change the status to Overdue.

Why this helps

HR admins can focus on future, actionable trips. Trips that can no longer be processed due to missing information are clearly separated. Overdue trips remain visible in the dashboard, but:

  • The Pending filter only shows upcoming trips

  • Reminder emails are sent only for future pending trips

Travel health insurance update

No more out-of-pocket payments for medical emergencies.

Employees insured with WorkFlex no longer need to pay upfront for medical emergencies during business trips.

In case of an emergency, they will receive a virtual travel health insurance credit card, allowing them to pay healthcare providers directly — without reimbursement processes or financial stress.

To help you communicate this internally, we’ve prepared a ready-to-use employee communication guide, including email templates you can send directly to your teams.

New "On Assignment" profile fields

We recently released dedicated profile fields for employees going on assignment.

When you select “On Assignment” as the employment type on the profile information page, a new section will appear allowing you to capture all assignment-specific details.

This ensures all relevant information is available early on and supports a smoother, compliant assignment process.

Save assignment requests as a draft

You can now save assignment exploration requests as a draft at any time during submission.
