What do I need to do to grant WorkFlex the rights to request A1/CoC and PWD for my Irish entities?

To be fully compliant during remote work from abroad and business trips, some documents must be issued before the trip starts. Social security certificates and local registrations are key for any trip. To allow the WorkFlex team to apply for A1s, Certificates of Coverage and Posted Worker registrations on behalf of your organisation in Ireland the following steps must be undertaken:

Sign and send the Power of Attorney

  • Download the PoA template.

  • Sign the document: Ensure that the authorized representative from your organization signs the document. In case you have more than one entity in Ireland, we will need a signed PoA from each entity.

  • Send us the signed document: Once signed, please send the PoA to your dedicated Customer Success Manager (CSM) and [email protected]

Instructions for ROS Administrator

If you wish WorkFlex to manage your A1/Certificate of Coverage, please follow the below steps:

  • Log into ROS as the ROS Administrator and click on the "Admin Services" tab.

  • Click "Add new".

  • Enter the sub-user details:

Please note that the details used when applying for the Department of Social Protection (DSP) sub- cert have to match the Welfare Partners user details on record with the DSP.

The tax registration number and the tax type also have to be the same โ€“ for example; if you are on record as an employer with the DSP but you pick Income Tax when applying for the sub-cert, this will not work. You need to pick PAYE-Emp if that is what you are registered for.

  • Surname โ€“ please enter international B.V.

  • First Name โ€“ Please enter Workflex

  • ID Ref โ€“ Please enter GetWorkFlex

  • ID Type - select "Other"

  • E-mail address for the above โ€“ please enter โ€œ[email protected]"

  • Select โ€œDepartment of Social Protectionโ€ from the Third Party Certificate drop down.

  • Money Laundering Reporting Officer (MLRO) โ€“ leave this set to โ€œNoโ€.

  • SEED Number - leave this blank

  • EORI Identifier - leave this blank

  • Tax Registration - select the registration number that you want to use for WelfarePartners. (The tax type and registration number must be the same as the details DSP have for the panel number.)

    Only one registration number can be assigned to each certificate.

  • Click โ€œSubmitโ€.

  • You should receive confirmation that a new certificate has been requested.

  • Click the โ€œVerification Codeโ€ padlock icon for the new sub-user and note the Verification Code; you should also note the โ€œID Refโ€ you created as they will be needed to download the certificate.

  • Please send the โ€œVerification Codeโ€ for the certificate to [email protected] and reply to the Operation team of Workflex with the Verification Code confirming that you have completed the Step so that we can complete Step 3 of Register for ROS.

Once the sub-cert is downloaded, the Status column will change to Active.

If WorkFlex is only to do the PWD notifications

Should you only want WorkFlex to do the necessary PWD notifications please take this template. The step with ROS is not necessary herefore:
