How to update a pending trip request? Why is my trip pending?

Every business trip has two statuses:

  • Overall Status

  • Compliance Status

This article explains how pending compliance status works, why requests may stay in this status, and how to update the missing information on a pending trip request.


What does "Pending" status mean?

A trip request enters compliance Pending status when it is created in WorkFlex but still lacks necessary information for a compliance check. This situation often occurs with trips imported via travel tool integrations.

The following information might be missing:

  • Profile information of the employee

  • Trip purpose

  • Economic employer question answers

  • Additional PWD (Posted Worker Directive) or visa question answers

Until this missing information is provided, the trip cannot proceed to the compliance check stage.


How to update missing trip information

If a trip is pending because of missing information, you will be notified by email. The email includes a link that takes you directly to the platform to complete the missing details.

Additionally, On the platform, you’ll see a red banner indicating that information is missing.

The following steps can be completed by the traveler, their assistant, or an HR admin.

1. Click on the trip request. You’ll see a list of the missing information. Select Update Request to start filling in the details.

2. After clicking Update Request, the platform will guide you step by step. Click Next to move through the flow and provide the required information.

  • Example: If the trip is pending because profile information is missing, you’ll be directed to the profile information page.

3. If more than one item is missing (for example: profile details, trip purpose, and return date), the system will take you automatically to the next missing field once you finish the previous one.

4. Once you’ve filled in all required fields, click Next and then Submit to update your request.

The trip status will change to In Progress or directly to Completed, depending on the case.

How employees are notified

When a pending trip is created, WorkFlex automatically notifies the traveler:

  • First email: sent immediately after the request is created

  • Second email: sent after 24 hours

  • Third email: sent after 48 hours

  • Follow-up email: sent if the employee updates their profile but it’s still incomplete (only if no reminder was sent in the past 24 hours)

Each email includes a call-to-action (CTA) button:

  • If the employee’s profile is incomplete: they are redirected to onboarding flow to complete their profile.

  • If their profile is already complete: they are redirected directly to the pending request to add the missing details (e.g., trip purpose, PWD answers).

Once all required information is provided, the trip request automatically moves to the Compliance Check stage.

⚠️ Note: Draft requests are not affected by this process and do not trigger reminders.


What happens if the trip has not been updated:

Currently, pending requests remain in Pending Compliance Status indefinitely if traveler/HR admin did not provide the missing information. This may block compliance processing until resolved.
