Default trip purpose for pending trips

To ensure that business trips are not left pending due to missing trip purposes and to improve overall compliance coverage, WorkFlex automatically advances pending trips with as much compliance coverage as possible.


What Is the default trip purpose rule?

The Default Trip Purpose rule ensures that trips with missing trip purposes can still move forward in the compliance process.
If a trip remains pending and the only missing information is the trip purpose, the system will automatically set the trip purpose to “Business travel” one day before the trip start date.

This helps ensure that trips do not get stuck in pending status and that risk assessments can continue for other compliance dimensions.


How does It work?

  • The automation runs one day before the trip start date.

  • It applies for pending trips where only the trip purpose is missing.

  • If so, WorkFlex automatically defaults the trip purpose to Business travel.

  • The trip then moves forward through the compliance checks for A1, CoC, and Health Insurance (HI).


Key highlights

  • PWD sub-assessment:
    For trips with a defaulted trip purpose, the PWD sub-assessment will always be flagged as Attention.
    Since the trip purpose was defaulted, it’s unclear whether a PWD is required, and therefore, WorkFlex cannot apply for one automatically.

  • Other risk dimensions still processed:
    WorkFlex continues to assess all other relevant risk dimensions and completes necessary steps for A1, Certificate of Coverage (CoC), and Health Insurance (HI).

  • Impact on compliance summary:
    Because the trip purpose mainly affects visa and PWD assessments, the compliance summary will reflect that these areas were impacted by a defaulted purpose.

  • No additional questions triggered:
    Defaulted trip purposes do not trigger PWD or economic employer-related questions.

  • Other pending reasons:
    If there are any other pending reasons (e.g., missing travel dates or employee information), the default rule will not apply.

  • Editing trips:
    If the employee, HR, or assistant edits, resubmits, or reschedules the trip, the defaulted trip purpose will be cleared and must be filled in manually again.


How to filter trips that have been auto-defaulted

HR users and Super-admins can easily track and manage trips that have been automatically defaulted to Business travel using the filtering option in the Business Trips overview page.

Steps:

  • Go to the Business Trips overview page.

  • Click on the Filter button.

  • Scroll down to the attribute Trip Purpose.

  • Select the value Defaulted – Business travel.

  • Click Apply to filter and view all trips that were automatically defaulted.
