Travelling for business should be worry-free, especially when it comes to healthcare during your trip. With WorkFlex’s new Travel Health Insurance Credit Card, employees can now experience peace of mind while travelling, knowing they will have immediate access to medical care, with no upfront payment required.

This is only relevant for employees insured with WorkFlex. If you cannot see the health insurance certificate on the platform, it means your employer has not acquired WorkFlex health insurance.

Below are the two ways employees can cover medical expenses abroad with WorkFlex’s assistance:

1. Use the WorkFlex travel health insurance credit card

In case of a medical emergency during a business trip, employees can access the WorkFlex Travel Health Insurance Credit Card for instant payment at the clinic. Here's how:

How to pay using the WorkFlex travel health insurance credit card:

  1. Contact WorkFlex for assistance:

    • Reach out via our 24/7 emergency hotline, WhatsApp, or platform chat for immediate assistance.

      • Platform Support Chat: Available through the WorkFlex platform.

  2. Get a virtual credit card:

    • WorkFlex will generate a virtual credit card for the amount required to cover medical expenses.

  3. Pay at the clinic:

    • Use the virtual credit card to pay for the clinic's services directly.

  4. Upload the invoice:

    • Once the payment is made, simply upload the invoice through the platform for documentation purposes. See below for the Invoice requirements that need to be included.

Getting started with your Airwallex card:

  1. You will receive an invitation email from Airwallex to set up your account.

  2. Click on “Join Airwallex” to begin the registration process.

  3. Set up two-factor authentication via an authenticator app or SMS.

  4. Enter your personal details (date of birth, residence address) to unlock your card details.

  5. View your credit card details and link the card to Apple Pay or Google Pay. To add the card automatically, use the Airwallex app. If you use a browser, you need to add the card manually.

  6. Track your transactions: All transactions will appear in the "Activity" section.

  7. Upload invoices by visiting the "Spend" section and clicking the "Add a receipt" button.



2. Pay upfront and get reimbursed

If you prefer to pay for the medical treatment upfront, WorkFlex offers a reimbursement option:

  1. Pay for the medical services:

    • Pay the clinic directly out of pocket for the required medical services.

  2. Send the invoice for reimbursement:

  3. Receive reimbursement:

    • Upon receiving the invoice, WorkFlex will process the reimbursement and deposit the amount into your account.

Bank details for reimbursement:

In your email to [email protected], include your bank details:

  • IBAN

  • BIC

  • Account holder name

Make sure the invoice complies with the Invoice requirements listed below.

Note on medical emergencies over 1,000 EUR:

For medical emergencies requiring payments over 1,000 EUR, you must contact WorkFlex’s insurance provider for direct payment.

Invoice requirements (Applicable for both payment methods):

  • Name of the treated person

  • Description of the service provided (e.g., treatment, consultation)

  • Date of service

  • Diagnosis

  • Amount and currency

For medication prescriptions:

  • Name of the patient

  • Prescribed medications, ideally including the pharmaceutical central number (PZN)

  • Date the medication was dispensed

  • Amount and currency

For therapeutic treatments and medical aids:

  • A medical prescription must be attached, issued before the treatment or aid provision.

  • Treatment should start within 28 days of the prescription date unless otherwise specified by the doctor.
