1. Activating the Salary Field in the Employee Profile
Employee salary is stored directly in each employee's profile on the platform.
By default, the salary field is disabled and must be activated by an HR Admin:
Direct to company settings
Open custom fields
Activate monthly gross salary in the profile fields
Once the salary field is enabled, the field is masked - meaning its value is
hidden from view for HR Admins and Assistants.
Salary data is treated as sensitive personal information and is protected accordingly. This approach ensures data privacy compliance, controlled access, and centralised storage of salary data in one place.
2. Uploading Salary Information in Bulk
The salary field is included in the standard CSV/Excel import template, allowing HR Admins to import salaries for multiple employees simultaneously through the platform's standard import process.
3. HR Admins & Assistants: Handing in Business Tripps on behalf of employees
If an HR Admin or Assistant submits a business trip on behalf of an employee, and salary information is required, this will be pulled automatically from the employee's profile field.
Exceptions
Switzerland – if the salary question appears, please enter 0. The compliant comparable salary for the registration will be taken from the Swiss Salary Calculator.
Austria – the salary question will appear as a Yes/No question, asking whether the employee's salary is at least EUR 8,316. The system will automatically populate the answer based on the salary field in the profile.
This will, in turn, trigger the additional questions required for the PWD application. Once the trip is submitted, our compliance logic will assess whether a PWD is actually required.
