How can the direct manager approve or decline a workation request and where can I check the status?

Employees planning to take a workation may require direct approval from their manager. This process is streamlined through the WorkFlex platform to ensure a seamless experience for both the employee and the manager.

How the Approval Process Works:

  1. Request Submission: When an employee submits a workation request via the WorkFlex platform, their manager is automatically notified via email. This ensures that the manager is promptly informed without needing to regularly check the platform for updates.

  2. Email Notification: The notification email sent to the manager contains all the pertinent details of the workation request. This includes the duration and any specific notes from the employee about the workation.

  1. Actionable Links: Crucially, the email includes a direct link allowing the manager to either approve or decline the request. The manager may also leave a comment in the comment section. ⚠️ This does not require the manager to register or log into the WorkFlex platform.

Additional Information:

  • No Registration Needed: Managers do not need to have a registered account on WorkFlex to respond to workation requests. The process is designed to be as straightforward and hassle-free as possible, promoting quick responses and minimal disruption.

By following these steps, managers can efficiently handle workation requests, ensuring that both business needs and employee well-being are balanced effectively.

How can I change my manager in my profile?

You can change the manager e-mail by simply signing in your WorkFlex profile and clicking on My profile and scrolling down to the Job Info section where you can click on Edit on the right side and change the managers email.

If your manager is on holiday when you need to request a workation, you can update the approval email address to ensure the request is reviewed by an appropriate substitute. This allows another authorized person to approve the request on behalf of your manager.

Important Note:

  • Email Restrictions: The approval email must be directly received by the individual who will decide on the request. Your manager cannot forward the approval email to another manager for action. Ensure that the correct email address is used when submitting your workation request to facilitate a smooth approval process.

This procedure ensures that workation approvals are handled efficiently and securely, even in your manager's absence.

How can I see if my manager approved my request?

Once the manager has approved the request you will automatically be notified via email.

Simply login to your WorkFlex profile. Go to My requests and click on the request you would like to review.

A pop up will be opened and at the bottom you will see if the manager as approved/declined or the status is still pending.

What can I do if my manager still has not approved my request?

To ensure timely responses, the WorkFlex system sends two automated reminder emails to the approver:

  1. First Reminder: Sent 24 hours after the initial request submission if it remains pending.

  2. Second Reminder: Sent 48 hours (two days) after the request submission if it is still not addressed.

⚠️ Please note that the email links will not expire. So in case your manager won't be able to approve/reject earlier, there is always the option to re-open the e-mails and take action!
