How does the assistant function work?

This function is specifically designed to aid assistants in managing WorkFlex requests for employees. Below, we will walk you through each step of the process, from role assignment to managing travel requests.

Assigning the assistant role

Before an assistant can begin managing travel arrangements, the HR Admin must assign them the assistant role. This process also involves assigning employees to the assistant, ensuring that each assistant is linked to the specific employees they will manage. Employee consent

Once the assistant role has been assigned, the next critical step is obtaining consent from the employees. Each employee must give their explicit consent, allowing the assistant to manage their WorkFlex account and requests. This consent ensures compliance with company policies and privacy regulations. As an assistant, add employees independently

As soon as the assistant role is assigned, assistants can independently add employees to their traveller list. However, before the assistant can manage the employee's trips and profile, the employee must give their consent.

Assistant overview and requesting a trip for an employee

After obtaining the necessary consent, assistants will have a clear overview of all traveller requests. Assistants can easily view and edit employee profiles and can manually request and edit trips for employees in cases where the platform is not integrated with a travel booking system. The assistant can also view single requests to deep dive into risk assessment associated with each trip and access all related documents.
