This article is only relevant if you have an integration with your travel tool and WorkFlex for your international business trips
There are two ways to book a business trip in WorkFlex:
Submitting a request on the platform: You can directly submit your travel request within the WorkFlex platform, providing all necessary trip details.
Booking via your company’s travel booking tool: If your company uses a travel booking tool, the trip details will be automatically transferred to WorkFlex once the booking is made.
Key information for One-Way business trips
Some travel tools may not require you to specify a return date when booking a one-way trip. While this is acceptable in certain cases, it is essential for compliance purposes that WorkFlex receives the return date in order to complete all necessary compliance checks and assessments.
If a one-way trip is transferred from the booking tool without a return date, it will be submitted to the WorkFlex platform but will remain in a pending status until the return date is provided. For example, if an employee books a one-way outbound trip from Germany to the UK, the trip will appear as "pending" on the platform until the return date is manually entered, as the full travel period is crucial for the compliance assessment.
If the return flight (e.g., from the UK back to Germany) is booked separately, the system will not create a new trip entry for it. The return trip will be recognized as a journey to the employee's home country and, therefore, will be filtered out as irrelevant for compliance processing. However, it will not be automatically linked to the original outbound trip.
How to update your trip
If a trip has been submitted without a return date, you will see an alert message with the text “No return date”. Additionally, a button labeled “Update trip” will appear in the bottom-left corner of the screen.
Click on the pending request.
Click the “Update trip” button.
You will be prompted to enter your return date.
After filling in the return date, click Submit.
Once the return date is saved, WorkFlex will proceed with processing your trip, ensuring all compliance requirements are met.

Adding the return date is essential to ensure that all business trips are covered by the appropriate compliance checks. Failure to complete this step could result in potential compliance risks for both the company and the employee.
