How to submit a new assignment request in WorkFlex

The following guide walks you through each step of submitting a new assignment request on the platform.

Step 1: Request a new trip

Begin by clicking on the button in top right hand corner Request a trip and choose the option New assignment.

Step 2: Getting started with the assignment assistant

In this step, you have several options to select from regarding the services you would like WorkFlex to provide:


Compliance assessment - This covers visa, work permit, tax, insurance, permanent establishment, health & safety, etc.

Balance sheet - Includes gross-net calculation, allowances, deductions, tax equalizations, and benefits.

Cost projection - Details the total expenses for an international assignment, covering salary, COLA, housing, taxes, and more.

To-Do List - Transforms the tasks from the compliance assessment into an actionable checklist for HR with clear deadlines.

If you are unsure about what you want to be informed about you can choose the right hand option *Not sure yet?*
You can select more than one option to proceed.

Step 3: General details

Now, you’ll need to fill in the general details for the assignment. Here you need to provide details about the host country, entity presence, assignment start and end dates, purpose, cost responsibility, whether the assignee is replacing someone, and where the salary will be paid, etc. At the bottom of the page you have the option to leave comments if you unsure about how to answer a certain question. If you're ready to proceed to the next page, click *next* on the bottom right corner.

Step 4: Assignee details

In this step, you’ll specify the assignee details. Please provide the assignee's name, job title in the host country, marital status, whether they have children under 25, whether pets will accompany them, and if they will maintain their permanent home. If you're ready to proceed to the next page, click *next* on the bottom right corner.

Step 5: Financial information

Now, you’ll need to fill in the financial information for the assignment. This includes selecting the allowances and compensation the assignee will receive, along with any additional support like visa and immigration services, international health insurance, or tax consultation etc. .
Please note that there is no need to include an index. Additionally, you have the option to let WorkFlex automatically determine the amount, or, if you prefer, you can enter it manually yourself. For example, you can enter the cost-of-living adjustment (COLA) based on the provided options.

By using toggles, you can easily switch between two conditions to adjust your selections according to your needs. If you're ready to proceed to the next page, click *next* on the bottom right corner.
​Step 6: Summary and final confirmation

Once all the details are entered, you will be presented with a summary of the application. Review the information, and if everything looks correct, click on the *Submit* button to complete the application. If you would like to change an input you can simply go back in your application by clicking *back*. After you submitted a new request our team will get started on preparing your documents. Note: submitting a request deducts credits, providing unlimited iterations

Saving an assignment request as a draft

When submitting an assignment exploration request, you can save your progress at any time by clicking Save as draft. This allows you to pause the submission and continue working on it later.

Saving a request as a draft helps prevent data loss and gives you flexibility in case some information is not yet available.

The Save as draft button is available on every page of the assignment submission flow. No matter where you are in the process, you can always save your current progress.


Working with draft requests

Any HR user with access to a draft request can:

  • continue editing the draft,

  • save it again as a draft, or

  • submit it once all details are complete.

This enables multiple users to collaborate on the same request and complete the required information across teams.

To continue editing a draft, click on the assignment request and select Update request.

You can then either submit the request or save it again as a draft.

Requests remain in draft status until they are explicitly submitted. Even if all required fields are completed, a draft will not be processed until submission. This ensures that no request is accidentally submitted without review.


Data saving and version control

Changes are only stored when you click Save as draft. If you close the page without saving, any unsaved changes will be lost. This helps maintain data integrity and avoids confusion.

If you are working in multiple tabs or browser windows, the most recent Save as draft action will overwrite previous versions of the draft. This ensures that the latest saved version is always used.

Each time a draft is saved, the system records:

  • who saved it,

  • when it was saved, and

  • what changes were made.

This audit trail provides transparency and helps track progress and responsibility throughout the request lifecycle.
