How to add an ongoing assignment?

This guide will walk you through the steps of submitting an ongoing assignment in WorkFlex. By following these instructions, you'll be able to efficiently manage assignments for your employees and ensure that all relevant information is captured and tracked.

Step 1: Add employee profile

Before you can assign an ongoing assignment, it’s crucial to ensure that the employee has a profile set up in the platform. You can either:

  • Invite the employee to fill in their profile directly, or

  • Manage the profile yourself, inputting all necessary details.

Note: Currently, Expats do not have direct access to the platform. For further details on how to set up employee profiles, please refer to our Help Centre article.

Step 2: Click on “Add ongoing assignment”

Once the employee's profile is created, navigate to the top right corner of the menu. Here, you’ll find the option to “Add Ongoing Assignment”. Click this to begin the process of assigning an ongoing task or project.

Step 3: Fill in the short intake form

You’ll be prompted to fill out an intake form. This form will request all necessary details about the assignment, such as:

  • Assignee name

  • Home country of the assignee

  • Host country for this assignment

  • Planned start date of the assignment

  • Planned end date of the assignment

Once you’ve filled out the form, click Submit. The ongoing assignment will be added to the platform, and you’ll see an overview displayed in your Dashboard for easy access and tracking.

Managing the assignment

Now that the assignment has been submitted, there are additional actions you can take:

Upload important documents

Feel free to upload any relevant documents related to the assignment, such as:

  • Contracts

  • Work-related documentation (e.g., job descriptions, task lists)

Simply click on the assignment, go to the Documents tab, and select the file you wish to upload.

This ensures that all critical materials are stored and easily accessible for your records.

Communicate changes or additional requirements

If there are any changes to the assignment, such as:

  • The assignment being shortened or extended

  • Additional tasks or requirements that need to be communicated

You can easily notify us via the chat feature within the platform. Just let us know, and we will assist with any necessary updates.
