Can I save a draft for my business trip request?

In WorkFlex, we understand that business trip requests often require time and additional information to complete. To help you manage your requests efficiently, we’ve introduced the Save as Draft feature.

This feature allows users to save their in-progress business trip requests and come back later to complete them, preventing data loss and giving you more flexibility when some details are not yet available.

1. Save as draft button

The Save as Draft button is available on every page of the Business Trip submission flow for all roles, including HRs, assistants, and employees. This means that no matter where you are in the process, you can always save your progress.

2. Cross-role editing

Any user with access to a draft request can continue editing it, save it as a draft again, or submit it when ready. This feature enables multiple users to collaborate on a request, facilitating the completion of necessary details across teams.

To continue editing a draft, simply click on the trip request, then click "Update Trip."

You can either continue editing your draft and submit your request or save it as a draft.

3. Draft status persistence

Requests will remain in draft status until the user explicitly submits them. Even if a request is fully filled out and saved as a draft, it will not proceed until it is officially submitted. This ensures that no request is accidentally processed without review.

4. No accidental saves

To prevent accidental data loss, changes are only stored if the user clicks the Save as draft button. If you close the page without saving, any unsaved information will be discarded. This helps maintain data integrity and avoids confusion.

5. Multi-tab handling

If you’re working in multiple tabs or windows, the most recent Save as draft action will always overwrite the previous version of the draft. This ensures you’re always working with the latest saved version, preventing outdated information from being submitted.

6. Audit log support

Every time a draft is saved, the system logs who saved it, when it was saved, and what changes were made. This audit trail helps maintain transparency and track the progress of the request for better accountability.

7. Filter by draft

We’ve added a new “Draft” option under the Compliance Status filter to make it easier for users to find and manage their draft requests. This enables users to quickly locate any requests that are still in progress and ensure they are completed on time.

Simply click on the filter icon, select "Drafts" under Compliance, and apply the filter.
