Understanding the role the medical certificate plays in business trips

The medical certificate is a compliance document that may be required during labor inspections when a Posted Worker Notification (PWN) applies. It is not an immigration or entry requirement; rather, it confirms that the employee is in good health and fit to perform their regular duties during the business trip.

While some countries only require such a certificate for physically demanding assignments, France and Poland expect this document for all activities whenever a PWN is required. In other words, if a business trip to France or Poland triggers a PWN, labor authorities may request the medical certificate during an inspection.

Please note that not all trips require local registration or a PWN. If no PWN is needed, the medical certificate is not required, and the template will not appear on the platform. For ease of use, the certificate template is bilingual. It is mandatory to have a medical certificate available whenever French or Polish regulations require it, and this obligation is reflected in your PWD consequences PDF, so you can quickly verify completeness.


Country-specific

As mentioned, since the Posted Workers Directive (PWD) has been incorporated differently into each country’s national law, the medical certificate requirement does not apply everywhere. Its presence depends on the destination country and whether the trip triggers a PWN.


Steps employers and employees should take

When the platform indicates that a trip to France or Poland triggers a PWN:

  1. Open the Medical Certificate template available on the platform.

  2. Schedule a routine appointment with a doctor in the country of employment.

  3. Have the doctor complete and sign the certificate before departure.

  4. Upload the signed certificate to the platform.

  5. Travel with a copy in case of an inspection.
