How can I delete a profile, if an employee has left the company?

If you have set up an integration (e.g., Personio, SAP SuccessFactors, HiBob or Workday), you can activate the synchronization of inactive accounts and these accounts will be deleted automatically.

Otherwise, you can choose between "Set to inactive" and "Delete profile" in the "People overview".

Removing Employees with Integration Setup

If your WorkFlex account is integrated with systems like Personio, SAP SuccessFactors, HiBob, or Workday, the removal process is streamlined. Here's how to manage it:

  1. Activate Synchronization:

    • Go to the integration settings in your Workflex Account.

    • Ensure that synchronization is activated for your integrated Platform.

  2. Automatic Account Management:

    • Once synchronization is active, inactive accounts from your integrated system will be automatically managed.

    • Inactive Accounts: These accounts will be automatically deleted from the Workflex Platform, keeping your employees list up-to-date without manual intervention.

Removing Employees Without Integration

If you do not have an integration set up, you can manually manage employee accounts within WorkFlex. Here are the steps to remove employees:

  1. Accessing People Overview:

    • Log in to your WorkFlex account and navigate to the "People Overview" section.

  2. Managing Inactive Accounts:

    • In the "People Overview" section, you will see a list of all employees, including their activity status.

    • For inactive accounts, you have two options:

      • Set to Inactive: This option allows you to mark an employee's profile as inactive. The profile remains in the system but the user cannot access the platform.

      • Delete Profile: This option permanently deletes the employee's profile from WorkFlex. Use this option when an employee has left the company or their profile is no longer needed.

Choosing Between "Set to Inactive" and "Delete Profile"

When managing employee accounts, it is important to choose the appropriate option based on your needs:

  • Set to Inactive:

    • Use this option if the employee is on temporary leave or you anticipate their return.

    • The employee's data remains intact, allowing for easy reactivation.

  • Delete Profile:

    • Use this option for employees who have permanently left the company.

    • This action is irreversible, so ensure that the profile and all related data are no longer needed.
