When do I have to book my cross-border trip and/or submit a request on the platform?

The general rule for starting your trip is and will always be: book it as early as possible.

Some trips will require no documents at all, some at least A1 or CoC certificates, but some as well VISA documents or PWD notifications. As all of these documents need to be requested and applied for at different authorities, it can take up to 90 days to receive them (VISA for example).

Business travels

As we are now talking about additionally making your travel as compliant as possible by providing a fully detailed compliance summary as well as certain documents which will be needed in specific countries, we recommend that you follow the below listed timelines to book your trip in your companys' travel management system or enter it manually on the WorkFlex platform:

  • Minimum: 3 working days before the start date of the trip

  • Ideally: 14 working days before the start of the trip


  • Belgium: 4 working days before the start of the trip

  • Switzerland: 4 working days + 8 calendar days before the start of the trip

  • Greece, Cyprus, Romania and Croatia: 12 calendar days before the start of the trip

  • Outside the EU: at least 30 days or more due to VISA regulations (please check with your HR department or the WorkFlex support team)

Additional corporate timelines for Workations

Additional to the general processing timelines WorkFlex needs to request documents and create the risk assessment, your company has defined a certain workation process and matching timeline to guarantee a smooth inhouse approval process and the organizing of team and meeting structures.

This process and timeline is described in the company policy. Please make sure you carefully read the company policy, which is provided in your profile on the WorkFlex platform, before entering your first travel request.
